New firsts at UVT: smart automations and advanced electronic document signing for students

Identity and traceability, two essential pillars of digital transformation, define the electronic tools developed by UVT for its students, and advanced concerns for the implementation of systems with the help of which digital transformation becomes a reality are at the top of the priorities of our academic community.

Starting in 2021, we piloted a series of applications in which both students and teams from several inter-institutional services of UVT electronically signed documents whose processing, in the past, required not only a large consumption of time but also a consumption of energy and consumables.

UVT has developed for its students a fully electronic resource, intended for signing internal institutional documents, with the help of an advanced electronic signature, created on its own infrastructure without external costs. The tool, created in the last four months, has already been tested among more than 10.000 documents. To exemplify just a few of the direct benefits of this resource, a simple calculation can quantify savings of several hundred thousand lei, referring only to digitized documents such as study contracts and discipline contracts.

On the radar of the benefits of this digitization process in UVT are:

· Thousands of hours spent cumulatively, for the generation and verification of contracts, for more than 16.000 students;

· At least 120.000 pages that no longer needed printing, only for study contracts;

· Minimum 240 A4 paper tops saved;

· Minimum 21.000 saved envelopes;

· Eliminate the costs of sending and retransmitting holographically signed documents.

We thus ensure, through internally developed digital tools, traceable databases, which automate in a short time administrative processes that, in the classical processing system, required a significant consumption of working hours and resources, both at the level of the academic and administrative community .

The first types of documents for which we tested these resources were accommodation contracts, then study contracts. By means of the institutional e-mail and the development of dedicated applications, we managed to transform lengthy administrative processes, loaded with printed documents, into a digital experience consisting of a few clicks, a careful review of data and immediate signature, electronic, by each of the actors, be they students, academic or administrative staff.

Digital transformation is a combination of attitudes, tools, automated processes and active involvement from the whole community. UVT remains one of the most active public institutions in Timișoara, but also one of the most active universities in Romania that focuses on the digitization process. We don't just use advanced digital technologies, but when the opportunity arises, we create them and make them available to the community.
